An immigration consultancy holds some of the most sensitive data any small business can hold: passport scans, bank statements, police certificates, family details, medical results and years of correspondence. Clients hand all of it over because they trust you. Your CRM is where that trust either holds or breaks.
Most comparisons of immigration CRMs focus on features and price. This guide covers the part they usually skip: whether the system is secure (who can get in, and what they can see) and reliable (whether your data survives a mistake, a lost laptop or a bad day). Use it as a checklist for any vendor, including us.
Why security matters more for immigration consultants
Three things make an immigration practice a bigger target than most small offices:
- The data is valuable. Identity documents and financial records are exactly what fraudsters look for. We describe the common attack routes in how hackers target immigration consultancies.
- Many people need access. Counsellors, case officers, accounts staff, sub-agents and the clients themselves all log in to something. Every login is a door.
- The records must last. Immigration files run for months or years, and regulators expect you to keep them. We cover the rules in record keeping and follow-up rules for immigration consultants.
In India there is now a legal angle as well. The Digital Personal Data Protection Rules, 2025 were notified on 14 November 2025. Over a phased period of about 18 months, businesses that handle personal data are expected to have reasonable security safeguards in place, such as access controls, logging and backups, and to report personal data breaches. Penalties under the Act can reach ₹250 crore. This is a general summary, not legal advice; check how the rules apply to your practice.
The secure immigration CRM checklist
Ask every vendor these questions, and ask to see the answer in a demo rather than on a slide.
1. Is every staff login protected by more than a password?
Passwords leak. Two-factor authentication (2FA), a six-digit code from an app on the staff member's phone, stops a stolen password from being enough on its own. Ask whether 2FA is included in every plan, and whether you can make it compulsory.
2. Does the system slow down password guessing?
A login page that allows unlimited attempts invites automated guessing. A secure CRM pauses sign-in after several failed attempts.
3. Can you control exactly who sees what?
A counsellor should see their own cases, not the whole client list. Ask whether permissions can be set per person, and whether visibility follows the case when it is reassigned.
4. Is there an audit trail?
When something goes wrong, you need to know who opened a file, who changed it and who sent what. Ask to see the audit log, including sign-ins.
5. Are backups automatic, and where do they go?
Backups you have to remember to take are backups that do not get taken. Ask how often the data is backed up, and whether a copy goes somewhere you control, not only the vendor's own server.
6. Can a deleted record be recovered?
The most common data loss in an office is not an attack; it is someone deleting the wrong thing. A reliable CRM keeps deleted records in a recovery area first.
7. Who owns the data, and can you leave with it?
If the vendor holds your only copy, they hold your business. Ask where the database lives, and how you would get everything out if you ever switched.
8. Are WhatsApp and email connected safely?
Unofficial WhatsApp tools that run off a phone break WhatsApp's terms and can get your number banned. Ask whether the CRM uses the official WhatsApp Business Platform, and how email is connected.
9. Are client and partner logins kept separate from staff logins?
Clients and sub-agents need access to their own files only. Ask whether the client portal and partner portal are separate, limited areas rather than restricted staff accounts.
Security is one part of the decision. For features, pricing and how the main options compare, see our guide to the best immigration CRM software in India.
How InfraBit Immigration CRM answers the checklist
Here is how InfraBit Immigration CRM handles each point today.
Sign-in security
- Two-factor authentication on every plan, including the free trial, using authenticator apps such as Google or Microsoft Authenticator, with backup codes and trusted devices. The administrator can make it compulsory for administrators or for everyone. See how 2FA works in the CRM.
- Sign-in throttling: after 5 failed attempts on an account, sign-in pauses for 15 minutes, without revealing whether the account exists.
- Passwords are stored hashed, never as readable text, and forms are protected against cross-site request forgery.
- Optional office-location sign-in: you can restrict staff logins to within a set distance of your office locations.
Access control and audit
- Permissions per person in Manage Permissions, rather than one fixed role for everyone.
- Case-based visibility: counsellors see the enquiries and clients assigned to them. WhatsApp and email threads follow the same rule and move with the case when it is reassigned.
- Audit log of sign-in sessions and actions across the CRM, including who opened a WhatsApp or email conversation and who sent what.
Backups and recovery
- Daily automatic database backup to your own Google Drive or OneDrive, with a weekly backup of document folders, a "Back up now" button and a run history.
- Deleted records go to a recovery area and can be restored by staff with permission to do so.
- Your platform, your data: the CRM runs on your own branded subdomain with its own database, and your backups sit in a cloud account you control.
Connected channels
- WhatsApp uses Meta's official WhatsApp Business Platform. Incoming messages are checked against Meta's signature, and the connection keys are stored encrypted. See the WhatsApp inbox.
- Email connects to your Microsoft 365 mailboxes through Microsoft's own API, and your Microsoft administrator can limit the connection to only the mailboxes the CRM uses. See the Outlook email integration.
- Separate portals: clients use the client portal and sub-agents use the B2B partner portal, each with its own sign-in, separate from staff logins.
No system is secure on its own. Strong passwords, 2FA switched on for everyone, removing access promptly when staff leave, and testing a backup restore once in a while matter as much as any feature.

Frequently asked questions
What makes an immigration CRM secure?
Two-factor authentication on every staff login, limits on failed sign-in attempts, permissions set per person, an audit log of who did what, automatic backups to a location you control, and a way to recover deleted records. Ask each vendor to demonstrate these rather than describe them.
Does InfraBit Immigration CRM include two-factor authentication?
Yes, on every plan including the free trial. It uses authenticator-app codes with backup codes and trusted devices, and the administrator can make it compulsory for administrators or for all staff.
How are backups handled?
The database is backed up automatically every day to your own Google Drive or OneDrive, document folders are backed up weekly, and an administrator can run a backup at any time and see the history of every run.
Can counsellors see every client in the CRM?
Not unless you allow it. Counsellors see the enquiries and clients assigned to them, and access can be widened per person in Manage Permissions. WhatsApp and email conversations follow the same rule.
What happens if someone deletes a client record by mistake?
Deleted records go to a recovery area first, and a staff member with restore permission can bring them back.
Do India's data protection rules apply to immigration consultants?
The Digital Personal Data Protection Act and its 2025 Rules apply to businesses that handle personal data in digital form, which includes most consultancies. The core obligations, including reasonable security safeguards and breach reporting, are being phased in over about 18 months from November 2025. Take advice on how they apply to your practice.
